⚠️ CRITICAL DAILY TASK ⚠️

The system can go offline without warning. In a high-risk area like Richmond, this poses a significant security threat. The Hik-Connect app MUST be checked by management at the start of each day to confirm the system is “Online”.

📋 Opening & Closing Checklist
Opening Procedure:
  • [ ] 1. App Check: Management confirms system is “Online” in Hik-Connect app.
  • [ ] 2. Disarm: Disarm the alarm system using your unique PIN/fob.
  • [ ] 3. Visual Scan: Conduct a quick visual check of the premises for any issues.
Closing Procedure:
  • [ ] 1. Secure Premises: Check that all windows and doors are securely locked.
  • [ ] 2. Arm System: Arm the alarm in “Away Mode” using your unique PIN/fob.
  • [ ] 3. Confirm Armed: Listen for confirmation beeps and check the keypad shows “Armed”.
  • [ ] 4. Final Lock Check: Physically check the main door is locked behind you.
🔑 PIN & Fob Security Policy

⚠️ IMPORTANT: Staff PIN codes and fobs are for the assigned staff member ONLY. They must never be shared or written down. All access events are logged against the user’s name and are audited.

  • Onboarding: Management must issue a unique PIN/fob to new staff before their first shift.
  • Offboarding: Access for departing employees must be revoked from the system immediately.
  • Quarterly Audit: Management must review the user list every three months to remove any non-current staff.
  • Compromised Code: If a PIN or fob is lost or suspected to be known by an unauthorized person, it must be deleted and re-issued immediately.
🔔 Incident Response Procedures
Break-in / After-Hours Alarm:
  1. 1. Alert: Designated staff receive a push notification from the app.
  2. 2. Verify: Immediately use the app to view CCTV cameras and verify the cause.
  3. 3. Action: If a real event, contact police. Do not enter. If a false alarm, disarm and log the event.
Hold-Up / Duress Procedure (Panic Button):

Management Decision Required: The keyfob panic button can be configured for an **audible siren** or a **silent duress alarm**. Contact Straight Forward Technology to set your preference.

  • Your safety is the #1 priority. Do not resist or escalate the situation.
  • If set to SILENT: Discreetly press the panic button if safe to do so. This will alert contacts without the offender knowing.
  • If set to AUDIBLE: Only press if you believe the noise will improve safety (e.g., scare off an intruder *before* a confrontation). Do not use it during a robbery.
  • After the event, lock the door, call 000, then notify management.
Documentation:

An Incident Log must be kept to record all alarms, faults, and instances of CCTV footage review. This is mandatory for compliance.

🚨 Alarm Operation

Keypad & Fob Operation:
  • Arming (Away): Arms the entire cafe. Used when the property is empty after closing.
  • Arming (Stay/Day): Arms only back-of-house areas (e.g., office, storeroom) while the cafe is open.
  • Disarming: Enter your PIN or present your fob to the keypad.
How to Add a User/PIN (for Management):
  • In the Hik-Connect app, select the 3 dots (…) next to the alarm name.
  • Go to Settings → User Management → Add User.
  • Enter the user’s name and set their permission level to “Operator” for permanent staff.
  • Assign them a PIN code and link their fob if they have one.

Viewing via Hik-Connect App:
  • View all cameras live from anywhere by selecting the camera device in the app.
  • Go to “Playback” to review and save recorded footage directly to your phone.
